TERMS AND CONDITIONS
Introduction
East London Car Club. (“www.eastlondoncarclub.com”, “we”, “us”, “our”, “the club”) is a social group and non-commercial unincorporated association. The club is structured with a founder/director who organises activities and communicates with its members. The founder/director may seek to involve other voluntary members and/or co-founders in the direction and objectives of the club at his/her discretion.
The club does not hold any assets, debts or liabilities and any costs associated with the set up and running costs of the club will be the sole responsibility of the founder/director.
The club relies upon volunteers and the goodwill of local businesses to support its activities and achieve any objectives.
The club’s “guide” and/or “friends” pages are intended to document and support local businesses and individuals in East London.
We operate a website and social media channels where you can join events, become a club member and find businesses to visit and individuals to engage with.
1) Support
“Support” Support may be; Information on the clubs website, advice sent to its members, voluntary support from the founder/director to businesses or people.
a) Any support given is offered with no guarantee or warranty of the accuracy of the information provided and you should satisfy yourself as to whether this support is suitable for you.
b) All statements made by East London Car Club, its founder/director and its volunteers are statements of opinion and are not to be relied upon as statements of fact. Such statements do not constitute a representation, warranty or assumption of liability by us of any kind. Any other views expressed at our events or on our social channels by members of the public or businesses do not represent the views or values of East London Car Club.
2) Gifts, Donations and Promotion
a) The club will not accept any monetary donations or gifts from businesses or individuals in exchange for promotion. The club will promote such businesses or people at its sole discretion.
b) Promotion of any business, person or event does not create a partnership, joint venture, or agency relationship between the parties involved. This clause clarifies that each party remains entirely independent and has no authority to bind or represent the other in any manner.
c) Through our online guide and or friends’ section of our website or social media channels we will promote other local businesses to you as an online visitor or member of the club. We do not accept paid promotions or requests for endorsements, any promotion through our website or social media channels is undertaken at the discretion of the founder/director.
d) East London Car Club reserves the right to terminate any promotion and remove any content from its website and social media channels of any business, individual or event without prior written notification.
e) The club may choose to support charitable organisations by inviting their representatives to events promoting their fundraising or distributing the organisations content to members. The club will never accept donations or handle any funds on the charity’s behalf.
3) Venues and Events
a) East London car club may host its own events and these will be free to attend. To attend we may ask you to register as a member and/or ask you to register your attendance. We will treat your data in accordance with our privacy policy.
b) The club will seek to gain permission to host events with venues such as restaurants, shops, bars and asks that these businesses partake on a voluntary basis in hosting the club for events. This will be on a non-transactional mutual agreement basis that the space is made available to East London Car Club, its members and event attendees.
c) East London Car Club has published and will communicate a code of conduct to its members upon joining the club and may send this to registered attendees before any events.
d) East London Car Club will undertake its own risk assessments ahead of events and may share this with the hosting venue(s) to support the reduction of risk. It will however be the responsibility of the venue to undertake its own risks assessments, ensure it has the correct permissions, insurances and licenses in place to safely and legally host East London Car Club, its members and other event attendees.
e) Although due care and attention will be taken to safeguard its members and volunteers East London Car Club accepts no liability for the damage of public or private property during events it hosts, promotes or attends.
f) The hosting venue hereby waives, releases, and discharges East London Car Club from any and all claims or liabilities for injuries, damages, or losses arising from participation in an event on their premises.
g) By hosting East London Car Club the venue waives the right to prosecute East London Car Club in the event of an accident of any kind on public or private property. The venue should implement the controls it deems necessary to ensure the safety and security of attendees and property while attending their venue.
h) Third party ticketed events: If tickets for events are being sold by venues. No tickets will be sold by us, we may simply promote the sale via a direct link to the venue’s sign-up page. East London Car Club will not profit from the sale of tickets to these events. We may promote the sale of Tickets and associated products and services on behalf of event organisers, promoters, venues, other car clubs and other persons involved in the organisation of these events. East London Car Club will never directly take payment for tickets to these events. Please note that we are not responsible for organising or delivering these events themselves. It is the responsibility of the Event Organisers to set the number and type of Tickets available via their platforms. If you have any queries or complaints regarding your purchase of tickets from any of the event organisers or other third parties, please contact them directly.
Membership and Events: Code of Conduct
Acknowledgement
By completing our membership form or event sign up and/or attending our events you agree to the following code of conduct and terms set out in this document.
4) Consideration and Respect
a) By becoming a member of East London Car club, you agree to act respectfully to other members through any communication channels and events you attend.
b) All members agree to be considerate to other members, and the public at any of our events. Refrain from stunting, speeding or unnecessarily loud revving in or at events of ours or at venues we attend.
5) Tolerance
a) East London Car Club has zero tolerance for any hostile, violent, abusive, harassing, or discriminatory behaviour of any kind whatsoever.
6) Privacy
a) We will protect our members’ privacy in accordance with our privacy policy.
b) We request that you do not take any photographs of other members or the public without their permission. However, we may take photographs for promotional purposes to be used on Social Media and on our Website. If you wish not to be included in these photos, please let us know.
7) Liability
Your responsibilities and acknowledgement
a) Although East London Car Club and/or its members may organise formal and informal meets and events and drives, rides, please be aware that you are solely responsible for your own personal insurance, safety and behaviour during any event.
b) You acknowledge that East London Car Club does not insure any event, drive or rides, or meeting on a public road or at a third-party private or public space/venue.
WE ASSUME THE FOLLOWING OF MEMBERS AND ANY ATTENDEES OF OUR EVENTS REPRESENT:
a) You are fully licensed and insured, and driving a safe & legal vehicle.
b) You are not intoxicated or inhibited from being able to operate your vehicle in any way. If you are driving home from any of our events where alcohol is being served or sold, we may report you to the authorities. The venue will also stop serving you with alcohol if you appear too intoxicated to drive.
c) You are responsible for driving within the law, including observing speed limits and general rules of the road. You will abide by all applicable laws.
d) On any events organised by the club. You are not expected to keep up with the speed of any group or individual driver/rider. Please set your own pace, drive within your limits, and make sure you feel safe when you are driving.
e) Having accepted that driving a classic vehicle or motorcycle can be dangerous, you take responsibility for agreeing to take part in any driving or riding related activities organised by the club or it's members, and hereby waive the right to prosecute East London Car Club in the event of an accident of any kind on public or private property.
8) Termination and Refusal
a) Membership applications may be refused without a reason being given. All membership decisions, including refusal and/or termination, are to be made at the sole and absolute discretion of the founder/director of East London Car Club
b) If club rules are broken, membership can be suspended or terminated without notice, at the sole and absolute discretion of founder/director of East London Car Club
c) We reserve the right to terminate your membership and prohibit you from making future event registrations, attending our events or using East London Car Club Services in future if:
(a) any abusive or threatening behaviour is carried out by you through our channels e.g our social media channels or our events.
(b) we suspect any fraudulent activity or other illegal activity is carried out by you or on your behalf through our social media channels or at our events.
(d) we are ordered to do so by any legal authority; and/or
(e) you otherwise breach the terms or any other applicable policies or terms and conditions (including any applicable Event Venue’s terms and conditions).
PRIVACY POLICY
How does this Privacy Policy apply?
This Privacy Policy describes what we do with your Information, such as your membership information, when we use it for our own purposes, including to foster the security and integrity of our Services.
Information we collect
· Your name, Your email address, your telephone number, interests in our events or services, vehicles you own or are interested in, information you directly provide us with via email our website, social media or any other means.
Marketing Preferences: Your marketing preferences and details, including if you’ve opted out of all or a portion of our direct marketing messages.
How we collect your information
We obtain information about you from various sources. We do this in three main ways:

· If you attend our events we may take photographs for promotional/marketing purposes to be used on Social Media and on our Website. If you wish not to be included in these photos, please let us know.
When we disclose your information
We may disclose information about you in the following circumstances:
· To keep our events and club safe we may share your information such as name and vehicle you have informed us you are bringing to our events. We may share this with venues, catering companies, security services and other businesses we are collaborating with in the interest of safety and security of people and property. We will request that this information is not stored any longer than 90 days before or after these events by these companies your information is disclosed to.
Vendors and Suppliers: We disclose information about you to vendors and suppliers that perform services on our behalf. These include providers of the following types of services: Events, Venues, Caterers, anywhere we may be hosting an event.
Safety and security vendors. These vendors enable us to keep our club safe and secure, for example we may share your information to event security to inform them of your attendance and to comply with their risk assessments. We may share information in the interest of detecting fraud or other security or safety violations. We share membership details with them to enable them to provide these services to us.
Professional advisors. In limited cases, we may need to disclose your information with professional advisors like external lawyers or financial advisors who help us comply with our legal and financial obligations. Depending on the circumstances.
We may request and share dietary information about you to venues and suppliers of our events
· Following the law or protecting rights and interests. We disclose your information if we determine that such disclosure is reasonably necessary to comply with UK law, protect our or others’ rights, property or interests or prevent other criminal or illegal activity. For example, we may disclose your information in response to valid legal requests sent by public or governmental authorities (such as to meet national security or law enforcement requirements) or other valid legal process under applicable law or bona fide request to investigate or prevent criminal or other illegal activity. Depending on the circumstances, we may disclose any of the information that we have collected on you to these organisations.
· When you have asked us to do so. For example, you have informed us you would like us to share your information with our “Friends”, suppliers or other members of East London Car Club. We will not share your information without your consent. We deem consent to be verbal or written communication informing us (founder (s) director (s) that you wish for us to share your details.
· By attending our events you consent to images captured at our events of you and your vehicle(s) being included in any promotional content East London car club and our event partners create, distribute or store.
· By becoming a member of East London Car Club you consent to images captured at our events of you and your vehicle(s) being included in any promotional content East London car club and our event partners create, distribute or store.
Your rights and choices
You can request that we delete any personal information we have stored on you at any point.
Additionally, if we rely on consent for the processing of your personal information, you have the right to withdraw it at any time and free of charge. When you do so, this will not affect the lawfulness of the processing before your consent withdrawal.

How we protect your information
· Information we hold on you will be stored securely and never intentionally shared publicly.
· Information access will be strictly limited to club director (s), founder(s). Any sharing of information will be only for reasons stated above (When we disclose your information)
· While no service is completely secure, your privacy is extremely important to us. We maintain administrative, technical and physical safeguards that are intended to appropriately protect against accidental or unlawful destruction, accidental loss, unauthorised alteration, unauthorized disclosure or access, misuse and any other unlawful form of processing, of the personal information in our possession.
